Refund & Cancellation Policy
This document outlines the clear, fair, and legally binding refund and cancellation terms governing IT engineering, software development, technical internship programs, and NP ONLINE cyber services provided by NTechBay (MSME Reg: UDYAM-MP-06-0038472).
Because NTechBay deals with professional engineering hours, intellectual property creation, and custom digital services, payments are structured according to agreed milestones and scopes of work to prevent ambiguity.
1. Scope of Services Covered
This Policy applies to all service categories executed by NTechBay, including but not limited to:
- Custom web applications & Next.js/React engineering
- Enterprise portals, backend schemas & Supabase/Cloud SQL databases
- Student & college technical internships, live projects & mentorship
- NP ONLINE e-governance citizen counter services & digital assistance
2. Milestone-Based Billing & Custom Development Contracts
Custom software engineering projects follow staged milestone agreements:
Initial Mobilization & Architecture Advance: The initial deposit (advance payment) covers foundational system design, architectural sprint planning, and environment provisioning. Once project discovery and wireframing have commenced, advance retainers are non-refundable.
Milestone Deliverables: Invoices are settled upon the formal demonstration and acceptance of each milestone (e.g. Prototype, API Integration, Database Deployment). Once a milestone deliverable is approved by the client, the corresponding funds are non-refundable.
Project Cancellation by Client: If the client elects to cancel the project prior to completion, billing will be prorated based on verifiable engineering hours and completed sprints. Any unworked advance balance remaining will be refunded within 7 to 10 business days.
3. Academic Training, Internships & Certificate Verification
Enrollment & Onboarding: Registration or processing fees paid for certified internship programs or project mentorship are refundable in full if the candidate requests cancellation at least 48 hours before the official program orientation.
Post-Commencement: Once training sessions, codebase repository access, mentor allocations, or live project modules have begun, registration fees cannot be refunded due to allocated instructor resources and server seats.
Certificate Issuance: Once an official verified certificate or joining letter has been generated with a unique QR code and recorded in the database, document generation fees are strictly non-refundable.
4. Counter Services, Govt Portals & Digital Deliverables
Government Portal Charges: Payments made towards government application fees (MP Online, Exam Boards, PAN NSDL, Stamp Duties, or Municipal Taxes) are directly remitted to statutory authorities. NTechBay does not retain these funds and cannot issue refunds for government department rejections or server downtimes.
Kiosk Operator Assistance: Service assistance fees for forms, biometric e-KYC, or document printing are earned upon delivery of the physical print or digital transaction receipt.
Hardware & OS Installation: As highlighted in our statutory Hardware Disclaimer, software installations (Windows OS, MS Office) are performed on client hardware. Once installation and testing are completed and accepted on-counter, installation service charges are non-refundable.
5. Claim Process & How to Request a Refund
If you believe an incorrect charge occurred or that deliverables did not match the written project specification, please submit a formal claim within 7 calendar days of the transaction date.
- Full Name and Registered Contact Phone / Mobile
- Project ID, Invoice Number, or Payment Transaction Reference
- Detailed explanation of the discrepancy or reason for cancellation
- Supporting screenshots, logs, or payment receipts

Our review committee inspects requests within 3 business days. Approved refunds are credited back to the original payment source (UPI / Bank Account) within 5 to 7 working days.
NTechBay is registered with the Ministry of Micro, Small and Medium Enterprises (MSME), Government of India (Registration: UDYAM-MP-06-0038472). All contracts, disputes, and transactions are governed under the laws of India and subject to the exclusive jurisdiction of the competent courts in Balaghat, Madhya Pradesh.
